Workbench Invoice Data

The Invoice area on the Main Workbench page sets the basic invoice information for this scenario.

For information about viewing and entering line-level data, see Workbench Line Data.

Use the field reference table below to enter required and optional data in fields.

Invoice Data Field Reference

Calculation Type

Indicates whether ONESOURCE Indirect Tax Determination calculates based on the gross amount passed in (Forward, default), the tax passed in (Reverse from Tax), or the combined gross plus tax amounts (Reverse from Total). For more information, see Calculation Types.

If you change the calculation type, verify that the value(s) that you want to enter in the Gross Amount, Tax Amount, or Total fields in the Lines section are correct. Because the Workbench displays both calculated and stored data for the scenario, it may continue to display old (undesired) values in one or more of these fields until you Submit the changed scenario or recalculate.

Comments

Any comments that describe this scenario.

Company Role

The merchant role. Can be Buyer, Middleman, or Seller.

Credit

Checked, this box indicates that this is a credit transaction for auditing and reporting purposes. Checking this box has no effect on tax calculations.

Currency

The currency for this transaction.

Customer Name

Entering a Customer here enables the matching of relevant exemption certificates.

Enter one of the following if desired:

  • In a Seller transaction, the company making the purchase.
  • In a Middleman transaction, the company making the purchase (also enter company making the sale in the Vendor fields below).
  • In a Buyer transaction, this company.

This is an auto-complete field. You can begin typing the customer name, then press <Tab> and <Enter> to complete the entry. Or, you can click Find to search from the list of customers in the active customer group.

If too many records are returned, you will need to enter characters until the displayed list of customers is short enough to be fully displayed. Or, simply enter the customer name directly.

Customer Number

An alternate method of specifying a customer.

Delivery Terms

One of the following:

  • A valid Incoterms 2000 code, relating to the rights and obligations of the parties to the contract of sale.
  • A custom Delivery Term mapped to a Point of Title Transfer.

Each item in the drop-down list indicates the description of the term as well as the owning company (in parentheses). System data is indicated by (System).

A Delivery Term always overrides any specified Point of Title Transfer for the transaction.

Invoice Date

The invoice date, which is used to match effective dates for Rules, Rates, Exemption Certificates, and other items. You can enter a date directly in MM/DD/YYYY format, or click on the Date Tool to select one. Required.

Invoice Number

The invoice number.

Movement Date

The movement date, which can be used in place of the invoice date to match effective dates for Rules, Rates, Exemption Certificates, and other items for certain transactions. You can enter a date directly in MM/DD/YYYY format, or click on the Date Tool to select one.

Point of Title Transfer

Used in some transaction types and locations to determine the point of taxability. Valid choices are In Transit (default), Origin, and Destination.

Transaction Type

The transaction type, which is required to apply the correct type of taxes to the transaction. The default is Goods; for more information on valid types see Transaction Types.

TransEditor Group

The TransEditor Group to apply to this scenario. This overrides any setting found in the company Logic Preferences.

Vendor Name

Entering a Vendor here can affect B2B processing logic.

Enter one of the following if desired:

  • In a Buyer transaction, the company making the sale.
  • In a Middleman transaction, the company making the sale (also select a Customer above).
  • Entering data here for a Seller transaction has no effect.

You can click Find to search from the list of configured companies, or enter a company name directly. Do not use slashes or carat characters in a company name.

Vendor Number

An alternate method of specifying a vendor.

Document Type

An optional text entry field. May be used to indicate if the document is an invoice, order or credit memo, for example.
